🚀 Getting Started

Register with a username, email, and password. You'll get an email with a verification link - you must click it before you can log in. Didn't get it? Use "Didn't get a verification email?" on the login page to resend it. Forgot your password? Use "Forgot your password?" on the same page.

Once logged in, Dashboard is your home page - a quick count of tasks in each view (Today, This Week, Unplanned, Planned, All), each one clickable to jump straight there.

✅ Tasks: The Core Flow

Every task goes through two phases:

  1. + Add Task - fill in name, department, priority, and an optional deadline. It starts Unplanned.
  2. Plan - pick a date for it. The period (which week it falls in) is figured out automatically - you don't set it yourself. Once planned, it moves out of Unplanned into your regular views.

From any task in a list, you can also:

📅 Views & Search

Today, Tomorrow, This Week, All Tasks, Planned, Unplanned - six ways to look at your tasks. Every list page also has a 🖨️ Print button (uses your browser's own print dialog, and automatically hides the menu/buttons so it prints cleanly).

🔍 Search lets you filter by any combination of: Task Name, Task ID (single, range like 5-12, or a list like 3,7,11), Department, Priority, Task Status, Deadline, Note text, a Date Range, Period, Schedule, Duration, and Task Type (Unplanned/Single-session/Multi-session). All filters you fill in are combined together.

📆 Multi-Session Tasks

Some tasks need more than one work session across different days. From any task, click Sessions to add one - just pick a date and jot down what that session's plan is. Adding your first session automatically turns the task into a multi-session task, and its date on your views always stays synced to whichever upcoming session is soonest. You can edit or delete individual sessions any time. Deleting the last remaining session sends the task back to Unplanned.

🧩 Subtasks, Time Tracking & Templates

Subtasks - a simple checklist attached to any task. Click "Subtasks" on a task to add items and check them off.

Time - log how long you actually spent working on a task (a start time, end time, and optional note). This history is also what powers the AI's time estimates - see below.

Templates - save a task's whole setup (name, department, priority, etc.) to reuse later, so you don't have to retype the same one-off task setup every time. Click "Use" on a saved template to prefill the Add Task form with it.

📝 Notes

A separate notebook, not tied to any specific task. Add tags (comma-separated), assign a category, and mark notes as pinned or favorite to help organize them.

🔁 Recurring Tasks (Habits)

For things you do on a repeating schedule - daily, weekly, fortnightly, monthly, or yearly. Weekly items are due Thursdays, fortnightly every other Thursday, monthly on the last day of the month, and yearly on Dec 31st - these aren't something you configure, they're just how each type works. The Recurring page shows what's due today with a streak counter (🔥) and a one-click "Mark Done" button; Manage is where you create new ones or activate/deactivate/delete existing ones.

⚡ AI Features

Worth knowing upfront: none of this is cloud AI - no data ever leaves the app, no API keys, no external calls. It's local text parsing and statistics over your own history.

📈 Reports & Deadlines

Reports - a dashboard showing your tasks classified as On Time / Late / Missed / Pending / Completed, plus breakdowns by department and priority, and your recurring-habit streaks - all as charts and tables.

Deadlines (the Deadline Tracker) - every non-completed task with a deadline, sorted soonest-first and color-coded by urgency (Overdue / Due Today / This Week / Later).

📆 Calendar - a real month-view calendar of your deadlines. Use Prev/Next to browse other months.

🗑️ Bulk Delete & Backup

Bulk Delete - delete many tasks at once by ID (single/range/list), Period, Deadline, Department, or Task Status. You always see a preview of exactly what would be deleted before anything is actually removed - nothing is ever deleted blind.

Backup - every user can export their own data as a JSON file, any time, for free.{% if current_user.is_admin %} (As an admin, you'll also see an option to download the full database - see Account & Admin below for why that one's admin-only.){% endif %}

⚙️ Management

Add or remove the values that appear in dropdowns throughout the app - Departments, Priorities, Durations, Schedules, and Task Statuses. Removing a value only affects future choices; any task that already used it keeps that value unchanged. (Recurrence Types and Recurrence Durations aren't editable here - they're explained on the Management page itself.)

{% if current_user.is_admin %}

👤 Account & Admin

Two features are admin-only, and you have access to both as an admin:

🌓 Theme, Shortcuts & Share

The 🌓 button in the menu toggles light/dark mode and remembers your choice. The ⌨️ Shortcuts page lists working keyboard shortcuts (they only fire when you're not typing in a text field). 📤 Share gives you ready-to-go links to invite someone else to the app via WhatsApp, Email, or Facebook.

🔔 Weekly Reminder

Set a day (Thursday or Saturday) and a time, and optionally tick "Ring Alarm." From then on, a pop-up will show your deadlines for the coming Saturday-to-Thursday week the next time you open the app on or after that day/time. Worth knowing: since this is a website, the pop-up can only appear while you have the app open - if you don't open it that day, you'll see it the next time you do, not miss it entirely. Nothing is set by default, so no pop-up appears until you configure it yourself.

Something not covered here, or not working the way you'd expect? Let your admin know.
